The after-hours problem
Renting a storage unit is a considered decision. People compare a few sites, then ring with questions about unit sizes, access hours, security and contracts before they commit.
A lot of that happens outside office hours. People ring in the evening, at the weekend or on a lunch break. If nobody answers, many won't leave a voicemail. They ring the next facility on the list.
An AI voice agent gives callers someone to talk to when your office is shut. It doesn't replace your team. It covers the hours they can't.
What a voice agent can do for a storage site
A voice agent for self storage is set up with your own details: unit sizes, prices, access hours, security, location and contract terms. When someone rings out of hours, it can:
- Answer the usual questions. Unit sizes and what fits in them, prices by size and length of stay, access hours, CCTV and security, insurance and how flexible the contract is.
- Work out what the caller needs. How much space, whether it's household goods, business stock or a vehicle, when they want to move in and for how long.
- Take their details. Name, number, email, what they need and their move-in date, sent to your inbox or added to your system so staff can follow up first thing.
- Book a viewing or reservation. If you take bookings, the agent can offer a time and confirm it.
- Explain current offers. If you run a first-month discount or long-stay rate, it can tell callers about it in the same words every time.
Connecting it to your management software
The most useful setup is one where the agent can see live availability and prices, so it never offers a unit that's already gone.
Whether that's possible depends on your storage management software and whether it allows other tools to connect to it. Some do, some don't. If yours doesn't, the agent can still answer questions from the information you give it, take the caller's details and pass a clear summary to your team to confirm the next morning. That's simpler, and for many sites it's enough.
What to watch out for
A voice agent is only as good as the information it's given. Before going live, check:
- Prices and offers are kept up to date. If you change a price, the agent needs to know, or it will quote the old one.
- It knows when to stop. Complaints, disputes, access problems and anything unusual should go to a person. The agent should take a message and say when someone will call back.
- Callers can tell it's an AI. Being upfront avoids awkwardness and builds trust.
- Someone reads the call summaries. Capturing an enquiry at 9pm only helps if a person follows it up the next day.
It also won't fix everything. If a caller wants to haggle or has a tricky situation, they still need a person. The aim is to make sure no enquiry is lost while you're closed.
What it costs to run
With 8Caps, setting up a voice agent is one standard package at a flat £495 founding price, which you only pay once you're happy with it. If your site needs more, such as a connection to your management software, we price that in writing before any work starts.
The call minutes are a running cost. They're pay as you go, paid by you at cost to the provider, and we set a spending cap with you so the bill can't run away.
