How tradespeople can use AI to catch missed calls and cut admin

How plumbers, electricians and builders can use AI voice agents and simple automations to catch missed calls and cut down on paperwork.

The missed call problem

You're up a ladder, under a sink or on a roof. Your phone rings and you can't answer. The caller hangs up, goes back to Google and rings the next trader on the list.

If you work on your own or in a small team, this happens all the time. Every missed call could be a job, and plenty of people won't leave a voicemail or wait for a call back.

AI can help with this. Not with complicated systems that need an IT department, but with practical tools that work with your existing phone number and calendar.

How a voice agent works for a trade business

An AI voice agent links to your business number and answers the calls you can't take. It tells the caller it's an automated assistant for your business, asks what they need, and takes their details.

Depending on how you set it up, it then either books them into your calendar or sends you a message with everything you need to call them back. The caller gets a prompt, polite answer. You get the details of the job in writing, even while you're working.

What it can do:

  • Answer calls at any hour, including evenings and weekends when homeowners are often looking for help
  • Take the caller's name, address, phone number and a description of the job
  • Check your calendar and offer times for a visit or a quote
  • Confirm the booking and send the customer a text or email
  • Ask simple questions, such as how urgent it is and where the job is
  • Answer common questions about your services and the areas you cover

What it shouldn't do

A voice agent is a good receptionist for routine calls. It isn't you. A few things it should leave to a person:

  • Giving prices for jobs it can't see. It can explain how you quote, but the quote itself should come from you.
  • Emergencies. If someone has a gas smell or water pouring through the ceiling, the agent should pass the call straight to you or tell them who to call.
  • Unhappy customers. Complaints need a human.

Any agent you use should be able to hand over: transfer the call to your mobile, or take a message and flag it as urgent. If your calls are mostly from regular customers who want to talk to you, an agent may not be worth it.

Other ways AI can help a trade business

Quotes. AI can help you write tidy, professional quotes faster from your notes, using your standard rates and wording. You still check the numbers.

Invoices. When a job is done, an automation can turn your job notes into an invoice, send it and chase it if it's late. If you use accounting software such as Xero, it can keep that up to date too.

Review requests. A short message after each job asking for a review on Google or your trade directory profile. More good reviews help you stand out when people search locally, and it's easy to forget to ask.

Planning your day. Scheduling tools can help order your jobs to cut down travel between them.

Working out if it's worth it

There's no need for a spreadsheet full of guesses. Ask yourself three questions:

  1. Roughly how many calls do I miss in a normal week?
  2. What is a typical job worth to me?
  3. If I won even a couple of those missed jobs back each month, would that cover the cost?

If the answer is yes, it's worth trying. If you rarely miss calls, your time may be better spent automating invoices or review requests instead.
