AI chatbots vs AI agents, and which one your business needs

AI chatbots answer questions. AI agents take action. Here's the practical difference and how to tell which one your business needs.

Why the terms get muddled

"AI chatbot" and "AI agent" are often used as if they mean the same thing. They don't. One talks, the other does things. Pick the wrong one and you can end up paying for something that doesn't solve your actual problem.

This guide explains the difference in plain terms, with an example of each.

What is an AI chatbot?

An AI chatbot is a chat window, usually on your website, that answers questions. Modern chatbots use the same kind of AI as ChatGPT, so they can hold a natural conversation and remember what was said earlier in it.

What a chatbot can do:

  • Answer questions about your services, prices and policies
  • Help someone choose, for example "what size unit do I need?"
  • Collect basic details such as name, email and what the enquiry is about
  • Hand over to a person when it can't help

What a chatbot can't do on its own:

  • Check live information in your systems, such as stock, availability or an order
  • Do things for the customer, such as book an appointment or issue a refund
  • Carry out a task with several steps that needs decisions along the way
  • Start work without someone first sending it a message

What is an AI agent?

An AI agent is given a goal and access to some of your tools, such as your calendar, your booking system or your email. It works out the steps needed and carries them out.

What an agent can do:

  • Look up a customer's history before replying
  • Book an appointment straight into your calendar
  • Process a refund through your payment system
  • Draft a document and email it to the right person
  • Watch for something happening, such as a new form or a late payment, and act on it
  • Work through a process with several steps without someone pushing each one along

The key difference is action. A chatbot gives information. An agent gets things done.

An example: a customer return

With a chatbot: a customer asks how to return something. The chatbot explains the returns policy and gives an email address. The customer still has to email, wait for a reply and chase it.

With an agent: a customer asks how to return something. The agent checks the order, confirms it can be returned, creates a returns label, emails it to the customer, updates the order record and sets a reminder to check the parcel arrives. All in one conversation.

Which does your business need?

Both can:

  • Answer common questions on your website
  • Capture leads and contact details

Only an agent can:

  • Book appointments into your calendar
  • Process orders or refunds
  • Qualify leads and update your customer records
  • Send tailored follow-up emails
  • Pull reports together from your data
  • Handle requests that take several steps

If all you need is to answer the same questions without typing the answers each time, a chatbot may be enough, and it's simpler to set up. If you want work taken off your plate, you probably need an agent.

The limits of agents

Agents are more useful, but they need more care.

  • They need access to your systems. That means deciding exactly what they're allowed to see and change.
  • They should know when to stop. Anything unusual, sensitive or high-value should go to a person.
  • They need checking. A good agent keeps a log of what it did, so you can see and fix any mistakes.
  • They depend on your tools. If your booking system can't connect to anything, an agent can't book into it.

Start with one clear job, check it works, then add more.
